Bookkeeping in ZNOVU - "Shoebox" System


This is the classic external bookkeeping method.
  • The client - entrepreneur routinely produces and accepts documents (invoices, receipts, bank statements). These are kept in a "Box", which is delivered to ZNOVU at agreed intervals (monthly, quarterly). In ZNOVU, the documents are reviewed, filed (attached) to applicable files, turned into computer records (purchase ledger, cashbook, bank, …) and posted to ledgers. Each posted document is stamped with ZNOVU's stamp. By doing so, the accounting firm takes responsibility for its posting.
  • After posting, elementary documents are produced in paper or electronic form, such as the Profit and Loss Statement, Balance Sheet, VAT statement with enclosure, overviews of accounts payable and receivable, draft tax return and possibly others as agreed.
  • On the next visit with the "Box", the entrepreneur takes the ordered documents and produced output reports.

The above procedure and dates and guarantees are recorded in a contract for work.

This form is still used, especially by small business owners. They generally keep information concerning the condition of their business either directly "in their mind" or in informal supporting books. Their main requirement for bookkeeping is to stand up in possible inspections

Client-Site Bookkeeping - "Documents Stay, Bookkeeper Runs"


ExWin, ZNOVU's accounting software, allows efficient distribution of work between the client and the accounting firm.

This is ensured as follows:
  • The software is installed to the client's PC. (The software, installation and continual updating is included in standard accounting work prices.)
  • The client's staff can actively use ExWin to produce invoices, cashbook documents, reminders, payment orders or import bank statements. At any time, they have access to reporting (account balances, movements and development), customer repayment analyses, asset balance, tax obligations, etc.
  • The software is open to the world around - it is possible to import electronic bank statements, Czech National Bank's exchange rates, export electronic invoices and payment orders. Providing import tools for other (invoicing) systems is not a problem for ZNOVU.
  • ZNOVU's accountant visits the client at agreed dates - usually 2-4 times a month, checks the documents and client's entries in computer databases and posts them to the ledgers. He or she takes a copy of the data to ZNOVU for further analysis.

The bookkeeping system implemented in this way can serve as a source of up-to-date information for company management. The client has all of their documentation available all the time. This is the form used by most ZNOVU clients.

Note:
Both systems are applied in a number of varieties, with elements from both of them interweaving as agreed. Future ExWin development will focus on using the Internet as much as possible to reduce physical transportation of people and documents. Publishing outputs in this environment will also allow keeping competent people updated all the time. The seeds of this approach have already been planted in the existing software.


Bookkeeping in server - "Documents Stay, Internet Runs"


ExWin software allows to process accounting in the terminal net enviroment. For that purpose ZNOVU offeres its own server or client’s server can be possibly used . This form of work can be characterised as follows:

  • all advantages of the “Client-Site Bookkeeping” system can be utilized.
  • the remote clients can exploit the on-line regime.
  • the ZELA subsystem supports data processing in ExWin.
    ZELA software apparatus allows to systematically store scanned documents (e.g. incoming invoices) and present them when bookkeeping is in process. At the same time the documents are connected with accounting items and consequently can be presented in accounting system ZNOVU. Bookkeeping on terminal net effectively opens the space for remote points and eliminates problems when batch processing is applied to remote clients.

Reconstruction


     ZNOVU also provides clients with books reconstruction services. In doing so, it takes advantage of its accounting expertise as well as its programming background and experience with data conversion from various accounting systems to ExWin. This often eliminates "manual" work with document re-creation, achieving higher efficiency and allowing more time for actual expert reconstruction.
Each such action requires individual assessment and the work and time of programmers and the most experienced accountants.

Payroll Processing


     is done strictly in ZNOVU. Necessary payroll papers are delivered to ZNOVU by post or courier, either as originals or copies. ZNOVU keeps applicable copy files for the necessary time (as defined by the contract) and quickly returns originals to the client for archiving. Payroll background data is sent to ZNOVU by fax, e-mail or regular post.
Elementary outputs - payroll slips, payment orders and overviews - can also have either "paper", or electronic. tronic form. Electronic signature is used for staff's logging in and out and for further communication with authorities.
Protection of personal data is guaranteed in the contract.
